These Terms and Conditions ("Terms") govern the relationship between you ("Client", "Traveller" or "you") and OWF Trips LLP ("OWF Trips", "the Company", "we", "our" or "us"), a limited liability partnership incorporated under the Limited Liability Partnership Act, 2008.
By booking any tour or service with OWF Trips, or by using our website, WhatsApp support line or other communication channels, you agree to be bound by these Terms. These Terms constitute a binding legal agreement between you and OWF Trips, governed by the laws of India.
OWF Trips acts as a travel organiser and booking facilitator. We coordinate your travel end to end, but the actual services — flights, hotels, transport, permits and activities — are delivered by independent third-party providers. This means certain aspects of your trip remain outside our direct control, and these Terms explain how we handle those situations.
Please read these Terms carefully before confirming a booking.
Definitions
"Booking Advance" means the initial non-refundable payment required to confirm a booking. For a Fixed Departure or Group Trip, this is the per-seat amount stated on the relevant trip page, pricing modal, quotation or booking confirmation and may vary from trip to trip. For a private, customised or other non-group booking, the Booking Advance is 25% of the full tour cost.
"Credit Note" means a non-cash travel credit issued by OWF Trips, redeemable against a future OWF Trips-operated package, subject to Clause 9.
"Fixed Departure" or "Group Trip" means a pre-scheduled trip with a published itinerary and departure date, sold on a per-seat basis to multiple travellers.
"Independent Contractor" means any third-party service provider — including airlines, hotels, homestays, camps, transport operators, bike rental vendors, guides, permit agents and activity operators — engaged to deliver part of the Services but operating independently of OWF Trips.
"Long-Haul Destination" means extended or intercontinental destinations, including but not limited to Europe, the United Kingdom, Ireland, the United States, Canada, Japan, South Korea, Turkey, Egypt, Australia, New Zealand, South Africa, Kenya, South America, Jordan and Israel.
"Non-Refundable Services" means components such as airfare, visa fees, Inner Line and Protected Area Permits, event or activity tickets, insurance premiums and special hotel deposits which, once booked, carry no refund value under the relevant supplier's rules.
"Platform" means all digital channels owned or operated by OWF Trips, including the website www.owftrips.in, our WhatsApp business number, email, booking forms and social media booking channels.
"Services" means all travel-related services offered by OWF Trips, including group trips, customised holidays, backpacking trips, biking trips, flight and visa facilitation, accommodation, transport and related assistance.
"Short-Haul Destination" means India (domestic) and nearby or regional international destinations, including but not limited to Bhutan, Nepal, Sri Lanka, Thailand, Singapore, Bali, Dubai, Vietnam, Malaysia, Maldives, Mauritius, Kazakhstan and Azerbaijan.
"Tour" or "Package" means any domestic or international trip, travel package or experience curated or coordinated by OWF Trips.
The categorisation of destinations as Short-Haul or Long-Haul is indicative and may be updated from time to time based on routing, vendor arrangements and operational feasibility. The applicable category will be stated in your quotation.
Eligibility and Use of the Platform
Eligibility. By booking with us, you confirm that you are at least 18 years of age and legally capable of entering into a binding contract, or that you are acting as a parent or legal guardian of a minor, or on behalf of another person or group with their proper authorisation.
Bookings on behalf of others. If you book for other travellers, you confirm that you are authorised to do so, that you accept responsibility for making them aware of and bound by these Terms, and that OWF Trips may treat you as the single point of contact for all matters relating to that booking.
Accuracy of information. You are responsible for ensuring that all information you provide — names as per government ID, contact details, dates of birth, passport details and medical disclosures — is accurate and complete. We are not liable for any loss, delay or denial of service caused by incorrect or outdated information supplied by you.
Communications. By initiating an enquiry or booking, you consent to receiving transactional communications from us via WhatsApp, SMS, email or phone, including confirmations, payment reminders, itinerary updates, joining instructions and cancellation notices. Please ensure the mobile number and email you provide remain accessible to you.
Permitted use. You may use the Platform to make genuine enquiries and bookings, to communicate with our team, and to share information necessary for your booking.
Prohibited use. You may not submit false bookings, impersonate others, use fake contact details, spam or harass our staff, interfere with the technical functioning of the Platform, or reproduce our itineraries, pricing, images or written content for commercial or competitive purposes without written permission.
Suspension. We may suspend, restrict or terminate your access to the Platform or Services, and decline future bookings, where you breach these Terms, provide misleading information, misuse the Platform or harass our staff or fellow travellers. Suspension does not affect payment obligations or indemnities already accrued.
Scope of Services
Our Services include, but are not limited to:
- Group Trips (Fixed Departures) — scheduled trips with published itineraries to domestic and international destinations.
- Customised Trips — tailor-made itineraries built around your dates, group size, preferences and budget.
- Backpacking and Biking Trips — adventure-oriented trips, including motorcycle expeditions to high-altitude regions such as Ladakh and Spiti.
- Flights, Visas and Transfers — coordination and facilitation support where applicable.
Additional terms specific to biking trips are set out in Clause 16 and apply in addition to these general Terms.
Group Trips (Fixed Departures)
This clause applies to all trips sold as scheduled fixed departures. Where it conflicts with another clause, this clause prevails for those trips.
Nature of the booking. A Fixed Departure is sold on a per-seat basis to a group of travellers who book independently of one another. You will be travelling with people you have not met, sharing accommodation and transport with them, and following a common itinerary and schedule. Where two batches on the same route have low occupancy, we may merge them.
Per-seat Booking Advance. A seat on a Fixed Departure is confirmed against the Booking Advance published for that specific trip. The amount may differ between Group Trips and will be shown on the relevant trip page, pricing modal, quotation or booking confirmation. It is not the standard 25% Booking Advance applicable to private, customised and other non-group bookings.
Minimum group size. Fixed Departures operate subject to a minimum of 8 full-paying travellers. Your options where that minimum is not met are set out in Clause 9.3.
Joining and dispersal. Every trip has a published joining point, joining time, dispersal point and dispersal time. Reaching the joining point and departing from the dispersal point are your responsibility and at your cost, unless expressly included in your package. Accommodation on the night before joining or the night after dispersal is not included unless stated.
We strongly recommend booking onward travel with a buffer after the published dispersal time. Mountain routes are subject to landslides, weather and convoy restrictions, and we cannot guarantee arrival at a precise hour.
Late arrival and missed joining. If you arrive after the group has departed, you may join the trip at a later point at your own cost and risk, subject to feasibility. The group will not be held back. No refund or credit is payable for portions of the trip missed as a result.
Punctuality and group schedule. Fixed Departures run to a shared schedule. You must be ready at the times communicated by your trip captain. Persistent delay affects every traveller in the group, and where it causes services to be missed, no refund or compensation is payable.
Authority of the trip captain. Your trip captain has full authority over routing, timings, halts, activity go/no-go decisions and group safety, and may alter plans on the ground under Clause 11. Their instructions are binding on all travellers.
Accommodation and transport are shared. Rooms are allocated on a sharing basis as set out in Clause 8. Transport and sightseeing are shared with the group and are not available on a disposable basis. Private rooms or private vehicles can be arranged at additional cost, subject to availability, if requested in advance.
Partial participation. No refund, credit or reduction in price is payable where you choose to skip an included activity, meal, sightseeing component or night of accommodation, or where you leave the group before the trip ends. If you leave the group early, you must inform your trip captain in writing, after which you travel independently and at your own risk, and we cease to be responsible for your arrangements.
Adding travellers. Additional travellers can be added to a confirmed booking subject to availability at the prevailing price for the batch, which may differ from the price you originally paid.
Physical demands. Fixed Departures to high-altitude and remote regions involve long road days, basic facilities in places and sustained physical activity. Please read the itinerary carefully and disclose any relevant medical condition under Clause 15 before booking.
Group communications. We may add you to a trip-specific WhatsApp group for pre-departure information and on-ground coordination. You may opt out by writing to us, in which case joining instructions will be sent to you individually.
Conduct within the group. Fixed Departures depend on travellers getting along. Conduct that disrupts the group, endangers others or harasses any traveller or staff member may result in removal from the trip under Clause 18, without refund and at your own cost for onward travel.
Booking and Contract Formation
Your booking is confirmed only when all of the following have occurred:
- You have accepted the proposed itinerary, inclusions and price;
- The Booking Advance has been received by OWF Trips in an official OWF Trips LLP bank account; and
- You have received a written booking confirmation from OWF Trips.
Verbal assurances, screenshots of availability and unconfirmed quotations do not constitute a confirmed booking.
All quotations are tentative and subject to availability and pricing at the time of final payment. Where any confirmed inclusion changes — hotel, airline, itinerary component or activity — we will inform you within 72 hours of the change coming to our knowledge, excluding Saturdays, Sundays and public holidays.
Our right to decline. OWF Trips reserves the right to accept, decline or cancel any booking request at its sole discretion, including after receipt of payment, in cases of suspected misuse, materially inaccurate information, or unavailability of services. Where we decline a booking for these reasons, amounts paid will be returned subject to deductions for Non-Refundable Services already committed.
Payment Terms
Payment schedules are set out in Annexure A. Payment obligations become binding on confirmation of booking. Group Trips use the trip-specific per-seat Booking Advance communicated for that departure. Private, customised and other non-group bookings use a Booking Advance equal to 25% of the full tour cost.
Accepted modes of payment. UPI, net banking and bank transfer, credit and debit cards, and online payment gateways. Cheques are accepted only with prior confirmation and subject to realisation. Cash is accepted only in exceptional cases with prior written approval.
Currency and exchange rates. All payments are to be made in Indian Rupees. For international packages, the applicable Rate of Exchange on the date of each payment will apply. Foreign exchange rates fluctuate, and any difference between the rate at the time of booking and the rate at the time of final payment will be adjusted in your final invoice.
Taxes. Prices are subject to Goods and Services Tax at the applicable rate. Any increase in taxes, levies or statutory charges imposed by any government authority — including with retrospective effect — will be borne by you as per applicable law.
Failure to pay. Failure to pay any instalment by its due date may result in cancellation of your booking at our discretion, with cancellation charges applied as per Annexure A.
Payments only to official accounts. All payments must be made only to OWF Trips LLP bank accounts communicated by our authorised representatives. We do not authorise any employee, agent or third party to accept payment into a personal or unofficial account. OWF Trips shall not be liable for any loss arising from payments made to any account not legally held in the name of OWF Trips LLP.
Never share your card number, CVV, OTP, PIN, password or banking credentials with anyone, including persons claiming to represent OWF Trips. We will never ask for these. If you receive such a request, report it to us immediately at bookings@owftrips.in.
Unidentified deposits. Deposits made into our accounts without prior written communication or reference to a confirmed booking cannot be reliably matched to a traveller. We are under no obligation to trace such deposits, and you should contact us immediately if you believe a payment has not been credited to your booking.
International Bookings — PAN, LRS and TCS
PAN requirement. In accordance with Reserve Bank of India regulations under the Liberalised Remittance Scheme (LRS), valid PAN details are required for each traveller on all international bookings. For minors, the PAN of a parent or guardian is required. It is your responsibility to provide accurate PAN details by the deadline communicated to you.
LRS limits. You confirm that the total foreign exchange remitted or purchased by you during the current financial year, including this transaction, remains within the limits prescribed by the RBI, and that foreign exchange purchased under this booking will be used solely for the declared purpose of international travel. If your LRS usage exceeds the permissible threshold before we process your booking or remittance, we may be required to cancel the booking, with the cancellation policy in Clause 9 applying.
Tax Collected at Source. Under Section 206C(1G) of the Income Tax Act, 1961, TCS is payable on the purchase of an overseas tour package, over and above the package price, at the rate prescribed by law and in force on the date of payment. The applicable rate will be stated in your quotation and invoice. OWF Trips will collect this amount, deposit it with the Government of India and issue the applicable certificate. TCS is an advance tax credited against your income tax liability and is claimable when you file your return; it is not a charge retained by OWF Trips.
Where PAN is found to be invalid, incorrect or not associated with the traveller, we reserve the right to cancel the booking in accordance with applicable law, with Clause 9 applying to any resulting cancellation. You agree to indemnify OWF Trips against any liability, penalty or interest arising from false, misleading or incomplete declarations relating to LRS or Section 206C(1G).
Pricing and Inclusions
Prices are based on availability, vendor rates and, for international trips, prevailing exchange rates at the time of quotation. The final price is confirmed at the time of booking and may change where exchange rates, taxes or supplier rates move materially before final payment.
Your booking confirmation sets out exactly what is included. Anything not expressly listed as included is excluded and is payable by you separately.
Package prices do not include mandatory gala or festive meal supplements levied by hotels — particularly around Christmas, New Year and regional festivals. We will communicate these where known at the time of booking, but such charges are sometimes notified to us by hotels at short notice.
Occupancy and room sharing. Group Trip prices are quoted on a per-person basis assuming shared occupancy, typically twin or triple sharing with travellers of the same gender. Where you book as a solo traveller, we will make reasonable efforts to pair you with a suitable co-traveller. If pairing is not possible due to group composition, a single occupancy supplement will apply and will be communicated to you before departure. A maximum of three adults are permitted per room; the third occupant is provided a mattress or rollaway bed.
Cancellations, Refunds and Credit Notes
9.1 Cancellation by you
All cancellations must be submitted in writing, by email to bookings@owftrips.in or via our official WhatsApp business number. Verbal or telephonic cancellations are not accepted.
The cancellation date is the date on which OWF Trips receives your written request, not the date we acknowledge it. We will issue a written acknowledgement within 2 business days. Cancellation charges are calculated by reference to the number of days between that receipt date and the scheduled departure date, as set out in Annexure A.
Please include your booking reference number, full name and trip details in your request.
Cancellation charges apply regardless of the reason for cancellation, including visa rejection, no-show, incomplete documentation, denied boarding, or personal inability to travel.
In addition to the scheduled charges:
- Actual airfare cancellation charges apply as levied by the airline;
- No refund or credit is available against Non-Refundable Services;
- GST at the applicable rate is chargeable on the cancellation amount, as cancellation charges constitute consideration for a supply of services under GST law.
9.2 Refunds and Credit Notes
Where a booking qualifies for recovery of any portion of the amount paid, OWF Trips will issue a Credit Note by default. Cash refunds may be considered on a case-by-case basis at our discretion, having regard to the reason for cancellation, the recoverable amount from vendors, and the circumstances of the traveller.
Credit Notes are issued within 7 working days of the cancellation date. Where a cash refund is approved, it will be processed within 7 to 10 working days of that approval, to the same account or banking instrument from which payment was originally made. For international bookings, the value of any Credit Note or refund will be calculated using the Rate of Exchange prevailing on the date of cancellation.
Credit Note terms:
- Valid for 12 months from the date of issuance;
- Redeemable only against OWF Trips-operated packages, and not against flights, visas, insurance or other third-party services;
- Non-transferable to any other person, and not redeemable for cash;
- Must be redeemed in a single booking; partial redemption and balance carry-forward are not permitted unless agreed by us in writing;
- Redemption is subject to prevailing prices, availability and package terms at the time of use. If the new trip costs more than the Credit Note value, the difference is payable as per the applicable payment schedule.
9.3 Cancellation by OWF Trips
Minimum group size. All Fixed Departures require a minimum of 8 full-paying travellers to operate. Where this minimum is not met, or falls below it due to late cancellations, we will notify you at the earliest and offer you a choice of: an alternate departure date; an alternate trip of comparable value; or a full Credit Note for the land portion of the tour. Non-Refundable Services already committed on your behalf will be deducted as per vendor terms.
Force Majeure and operational cancellation. Where we cancel or materially curtail a trip due to a Force Majeure event (Clause 20) or operational necessity, we will offer a Credit Note or, where recoverable from vendors, a refund of the land portion, in each case after deducting Non-Refundable Services. We will not levy the cancellation charges in Annexure A where the cancellation is initiated by us.
Indirect costs. Where we cancel or modify a trip, we are not liable for the cost of flights, visas, insurance or accommodation that you booked independently, or that we facilitated on your behalf, as these are governed by third-party terms and are typically non-refundable. We will provide reasonable assistance in seeking recovery from those providers where possible.
Rescheduling and Modifications
You may request to reschedule or modify a confirmed booking, subject to availability, vendor approval and the timelines below. All requests must be made in writing and are valid only once acknowledged in writing by us.

"Actual costs incurred" means non-refundable amounts already committed on your behalf, including airfare, hotel deposits, permits and vendor penalties. These will be itemised for you.
Further conditions:
- Only one complimentary reschedule is permitted per booking, within the eligible window.
- The rescheduled trip must be undertaken within 12 months of the original departure date.
- Rescheduling does not apply to bookings made under promotional, limited-period or expressly non-refundable offers.
- Rescheduled bookings are non-transferable to another person unless we agree in writing. Name changes on flight tickets are subject to airline policy and may attract charges.
- Changes to inclusions (room category upgrades, additional nights, extra services) are charged at the differential cost.
- Rescheduling may be declined if minimum group strength is not met on the requested new dates.
- No changes are permitted once the trip has commenced.
- For customised trips, rescheduling terms follow the underlying vendor policies and will be confirmed to you on request.
Medical and force majeure rescheduling. Where rescheduling is necessitated by serious illness, accident or a Force Majeure event, and you provide supporting documentation (such as a medical certificate or police report), we will consider issuing a Credit Note for future travel. Such decisions rest with OWF Trips, exercised reasonably.
Itinerary Changes
Before departure. We may need to alter itineraries, accommodation or transport arrangements due to weather, road or pass closures, political unrest, permit restrictions, vendor failure, government or health advisories, or other circumstances beyond our control. We will notify you as early as reasonably possible and offer comparable alternatives of similar value and quality.
Where a pre-departure change materially reduces the value of what you booked and no comparable alternative can be arranged, we will issue a Credit Note or, where the amount is recoverable from the relevant vendor, a partial refund for the affected component. Where the change is material and you do not wish to proceed, you may cancel without incurring the charges in Annexure A, on the terms set out in Clause 9.3.
During the trip. Itineraries may be adjusted on the ground for reasons of safety, weather, natural calamity, landslides, permit or checkpoint restrictions, or local regulation. Our trip captains and on-ground coordinators have full authority to make such decisions in the interest of group safety, and you agree to cooperate with them.
No refund or credit is payable for itinerary components missed due to circumstances outside our control once the trip has commenced. Where a comparable alternative can reasonably be arranged, we will arrange it at no additional cost to you.
By booking with OWF Trips, you acknowledge that group and adventure travel requires flexibility, particularly in high-altitude and remote regions where conditions change without notice.
Flights and Airline Terms
OWF Trips acts solely as a facilitator for flight bookings. All air travel is governed by the fare rules and conditions of the operating airline.
- Full payment of airfare is required at the time of ticket issuance.
- Once issued, tickets are subject to the airline's fare rules and are generally non-refundable and non-transferable. Date changes and name corrections may attract fare differences and amendment charges at the airline's discretion.
- We are not responsible for delays, cancellations, schedule changes, denied boarding or rescheduling initiated by an airline. You must coordinate directly with the airline in such cases.
- Baggage allowances, restrictions and liability are governed by the airline. We are not liable for delayed, misrouted, lost or damaged baggage, or for excess baggage charges.
- Any increase in government taxes, fuel surcharges or airline-imposed charges before ticket issuance will be charged to you, irrespective of your booking date.
- In-flight meals and baggage depend on the airline and fare type. Low-cost carriers typically do not include meals, water or checked baggage. Please verify your inclusions and arrange add-ons directly with the airline.
Travel Documents, Visas and Client Responsibility
Traveller responsibility. You are solely responsible for ensuring that every document required for your trip is valid, accurate and available in original or accepted digital form. Entry and boarding requirements can change at short notice, so you should verify the latest requirements with the relevant government, embassy, consulate or airline before departure.
You must ensure that:
- your passport remains valid for the period required by every destination and transit country, which is commonly at least six months beyond the intended date of return;
- you hold all required visas, transit visas, e-visas, permits and travel authorisations;
- you carry any required vaccination, health or insurance documentation; and
- you carry an accepted government-issued photo ID for domestic travel within India.
Visa assistance. Where OWF Trips assists with a visa application, we act only as a facilitator. Visa issuance, processing time and entry permission remain at the sole discretion of the relevant embassy, consulate and immigration authority. We cannot guarantee approval, and application fees and related third-party charges are non-refundable.
ECR passports and OK to Board. Travellers holding an Emigration Check Required passport are responsible for confirming whether emigration clearance or an OK to Board approval is required and for completing it before departure.
Review of documents. You must review flight tickets, names, dates, visa-support documents, itineraries and vouchers immediately after receiving them and notify us promptly of any error. We are not liable for avoidable loss arising from a failure to report an error within a reasonable time.
Denied boarding or entry. OWF Trips is not liable where a traveller is denied boarding, refused entry, detained or deported because of invalid, incomplete or missing documentation, non-compliance with immigration rules, or an authority's decision.
Accommodation
- Standard check-in is 3:00 PM and check-out is 11:00 AM unless otherwise stated. Early check-in and late check-out are subject to availability and may attract charges payable directly to the hotel.
- Room sizes, layouts, views and amenities vary by destination and hotel category. Air conditioning may not be available or functional in hill stations, high-altitude regions and parts of Europe, where local norms apply.
- Where a hotel, homestay or camp named in the itinerary becomes unavailable due to overbooking, maintenance or unforeseen circumstances, we may substitute accommodation of a similar category and will inform you as soon as possible.
- On certain routes, particularly in Ladakh, Spiti and the Northeast, accommodation may be in homestays, camps or guesthouses where facilities are basic. This will be indicated in the itinerary.
- City tax, mini-bar, room service, laundry and other incidentals are payable directly at the hotel.
- Room preferences are treated as requests and are not guaranteed; final allocation rests with the hotel.
- You are responsible for any damage caused by you to hotel property and must settle it directly with the hotel.
Transfers and Sightseeing
- Transfers are provided as per the itinerary and are not available on a disposable or on-call basis.
- You must be punctual for all departures and transfers. Delays caused by you may result in missed services, for which no refund or compensation is payable.
- Sightseeing and transfers are subject to weather, road closures, government restrictions, strikes, permit issues and mechanical breakdowns.
- Due to interstate permit requirements, vehicles may change when crossing state borders. You will be dropped at your accommodation in the same vehicle, with a different vehicle provided for onward local sightseeing.
- Group transfers and sightseeing are shared. Private vehicles can be arranged at additional cost, subject to availability and local regulations.
- For certain customised trips, you may need to arrange your own transfer to the trip start point. We will advise on options, but arrangement and timely arrival remain your responsibility.
Travel Insurance, Medical Fitness and Health
Travel insurance. We strongly recommend that every traveller obtains comprehensive travel insurance covering trip cancellation and curtailment, medical emergencies including hospitalisation and evacuation, baggage loss or delay, flight disruption, and — importantly for our trips — adventure and high-altitude activities. Many standard policies exclude motorcycling and activities above a stated altitude; please check this specifically.
OWF Trips does not currently sell or provide travel insurance. Arranging cover is your responsibility, and claims must be made directly to your insurer. We are not liable for losses arising from the absence of insurance or from a declined claim.
Medical disclosure. You must disclose, at the time of booking, any pre-existing medical condition, physical limitation, allergy or ongoing medication that may affect your participation — particularly for trips involving high altitude, trekking, riding or other physical exertion. We may request a medical fitness certificate before confirming your booking or before permitting participation in strenuous components.
We reserve the right to decline participation in a trip or activity where, in our reasonable judgement, participation would pose a safety risk to you or the group. Where you fail to disclose a relevant condition and an incident occurs arising from it, OWF Trips shall not be liable for any resulting injury, loss, delay or disruption.
Destination health requirements. You are responsible for meeting vaccination and health documentation requirements for your destination. We are not liable for entry refusal or missed services arising from non-compliance.
High altitude. Trips to Ladakh, Spiti and comparable regions involve sustained travel above 3,000 metres, including passes above 5,000 metres. Acute Mountain Sickness can affect anyone regardless of fitness or prior experience. You acknowledge this risk, agree to follow all acclimatisation instructions given by your trip captain, and agree to report symptoms immediately. Evacuation from these regions can be slow, weather-dependent and expensive, and is not included in your package price.
Biking Trips — Additional Terms
These terms apply in addition to all other Terms, and prevail in the event of inconsistency, for any trip involving motorcycle riding.
16.1 Licence and eligibility
- Every rider must hold a valid, current Indian driving licence with a motorcycle (MCWG) endorsement, or a valid international licence with permit where applicable, and must produce the original at the Day 1 briefing. Riders unable to produce a valid licence will not be permitted to ride, and no refund is payable.
- Riders must be at least 18 years of age.
- Pillion riders are permitted subject to the itinerary and must comply with all safety requirements in this clause.
- We may decline to permit any person to ride where, in the reasonable judgement of our captain, they lack the competence to ride the route safely.
16.2 Motorcycles — rented and self-ridden
Where OWF Trips arranges a rental motorcycle:
- The motorcycle is supplied by an independent rental vendor. A security deposit of ₹5,000 per motorcycle is payable, either to OWF Trips or directly to the vendor as advised, and is refundable after the trip subject to inspection.
- You are responsible for the cost of any damage, loss or theft of the motorcycle, its accessories, keys and documents during the period of your possession, whether or not you were at fault. Damage costs will be assessed by the vendor and may be deducted from the security deposit; where damage exceeds the deposit, the balance is payable by you.
- Fuel is included in the package price for rental motorcycles, for the distances covered by the published itinerary. Fuel consumed on detours, personal excursions or off-itinerary riding is payable by the rider.
- The motorcycle is provided in roadworthy condition. You must inspect it at handover and report any pre-existing damage before departure.
- Breakdowns: where a motorcycle becomes unserviceable through no fault of the rider, we will make reasonable efforts to arrange repair or a replacement motorcycle. In remote sections this may take time, and you may need to travel in the support vehicle in the interim. No refund is payable for time lost to mechanical failure.
- Where a breakdown or damage results from rider negligence, off-route riding or misuse, recovery and repair costs are payable by the rider.
Where you ride your own motorcycle:
- You are solely responsible for the mechanical condition, roadworthiness and servicing of your motorcycle, and for carrying valid registration, insurance, PUC and, where applicable, permits.
- You must carry your own basic spares and tools. Our support vehicle capacity is limited and cannot be relied upon to carry spares for privately owned motorcycles.
- OWF Trips accepts no liability for breakdown, damage, loss or theft of a privately owned motorcycle, or for the cost of its recovery or repair.
- Where your motorcycle becomes unserviceable, we will assist you in arranging repair or onward transport, but the cost is yours and the group cannot be delayed indefinitely. Continuing the trip in the support vehicle, where seats allow, does not entitle you to a refund.
- Package prices for self-ride bookings exclude rental and, unless stated, exclude fuel.
16.3 Safety rules
The following are mandatory and non-negotiable on all biking trips:
- Helmets must be worn at all times while riding. Riding gear as specified in your joining instructions is mandatory.
- Zero alcohol and no intoxicating substances before or during any riding day. Any rider found to have consumed alcohol or drugs on a riding day will be removed from riding for the remainder of the trip, with no refund. Where the breach is serious or repeated, the trip may be terminated for that traveller under Clause 18.
- Riders must maintain convoy discipline, ride within the marked route, follow the lead and sweep riders, and remain behind the lead rider at all times.
- No night riding except where expressly part of the itinerary and directed by the captain.
- Riders must obey all traffic laws, speed limits, permit conditions and checkpoint requirements. Fines and penalties are payable by the rider.
- Instructions from the trip captain regarding pace, route, halts, weather and river crossings are binding.
Breach of these rules may result in immediate withdrawal of riding privileges or removal from the trip without refund or compensation.
16.4 Risk acknowledgement
Motorcycle travel in high-altitude and remote terrain carries inherent and significant risks, including road and surface hazards, unbridged water crossings, landslides, sudden weather change, altitude illness, limited medical infrastructure and delayed evacuation. You participate voluntarily and at your own risk, having assessed your own competence and fitness.
To the fullest extent permitted by law, OWF Trips shall not be liable for injury, illness, death, or loss of or damage to property arising from participation in riding activities, save where such loss is caused by our own negligence. Nothing in this clause limits any liability which cannot lawfully be limited.
Adventure Activities and Permits
- Optional adventure activities — rafting, paragliding, trekking, snow sports, water sports, camping and similar — are voluntary and undertaken at your own risk. These are operated by independent providers under their own terms and safety protocols.
- You must follow all safety briefings and instructions issued by us, our captains, local guides and activity operators. Reckless or non-compliant conduct may result in immediate removal from an activity or the trip, without refund.
- Restricted-area travel (including Ladakh, parts of Spiti, Arunachal Pradesh, Sikkim and the Andaman Islands) requires Inner Line Permits or Protected Area Permits. These are issued at the discretion of the authorities, require valid original ID, and are non-refundable once applied for. Denial or withdrawal of a permit by the authorities is outside our control, and no refund is payable for itinerary components missed as a result.
Code of Conduct
You are expected to conduct yourself respectfully towards fellow travellers, local communities, our staff, guides and service providers, to respect local customs, traditions and laws, and to comply with all safety instructions.
Disruptive, unlawful, harassing or offensive behaviour — including conduct that endangers others, harassment of any traveller or staff member, or possession of illegal substances — may result in immediate termination of your participation, without refund or compensation, and at your own cost for onward travel.
You are responsible for any loss or damage you cause to property, accommodation, vehicles or public venues. We may recover the full cost of such damage directly, or set it off against any Credit Note or refund otherwise due to you.
Luggage and Personal Property
You are solely responsible for the safety and supervision of your belongings throughout the trip, including during transit, hotel stays, transfers and sightseeing.
OWF Trips is not liable for loss, theft or damage to luggage, electronics, cash, jewellery, passports, Aadhaar cards, PAN cards, driving licences or other documents, whether misplaced in vehicles, at accommodation, at airports or at any location during the trip.
Porterage is not included unless expressly stated. Airline baggage liability is governed by the airline. Please label your luggage clearly and avoid placing valuables in checked baggage. On biking trips, luggage carried in the support vehicle is carried at your own risk and should be securely packed and waterproofed.
Force Majeure
OWF Trips shall not be liable for any failure or delay in performing its obligations arising from events beyond its reasonable control, including natural disasters, earthquakes, floods, landslides, avalanche, cloudburst, epidemics and pandemics, war, terrorism, riots or civil unrest, strikes and bandhs, government orders, travel restrictions, border or pass closures, permit suspensions, and failure of transport or communication infrastructure.
In such an event, we may reschedule, modify or cancel part or all of a trip. The consequences of such cancellation are governed by Clause 9.3. You acknowledge that no additional compensation, reimbursement or damages shall arise against OWF Trips for disruption caused by a Force Majeure event.
Limitation of Liability
OWF Trips acts as a travel organiser and booking facilitator. We do not own, operate or control airlines, hotels, transport operators, rental vendors or activity providers. We select our partners in good faith and with reasonable care, but we do not guarantee the flawless performance of every vendor at every destination.
Accordingly, and to the fullest extent permitted by law, OWF Trips shall not be liable for:
- any act, omission, negligence or default of an Independent Contractor;
- delays, cancellations, overbooking or itinerary changes outside our direct control;
- loss of baggage, theft, property damage or financial loss suffered during the trip;
- any loss or expense arising from your failure to comply with immigration, visa, customs, permit or health requirements;
- indirect or consequential losses of any kind.
Our total liability in any circumstance shall not exceed the amount you have paid to OWF Trips for the portion of the Services directly organised by us and affected by the relevant event.
Nothing in these Terms excludes or limits any liability which cannot lawfully be excluded or limited, including liability for death or personal injury caused by our negligence, or any right you have under the Consumer Protection Act, 2019.
Indemnity
You agree to indemnify and hold harmless OWF Trips, its designated partners, employees, captains and agents against all claims, losses, damages, liabilities, penalties, costs and reasonable legal fees arising from: your breach of these Terms or of applicable law; any misrepresentation, misconduct, negligence or fraud by you; damage caused by you to persons, property or service providers; and any third-party claim arising from your conduct, documentation failures or non-compliance with destination rules.
This indemnity survives completion of the trip and termination of your agreement with us.
Photography and Marketing Consent
Our trips are photographed and filmed, and this content is used in our marketing across our website, social media channels and paid advertising.
By participating in a trip, you consent to OWF Trips capturing photographs and video in which you may appear, and to their use in our promotional material without further compensation.
You may opt out at any time — before, during or after the trip — by writing to bookings@owftrips.in. On receiving an opt-out, we will not use new content featuring you and will remove existing content from our own channels within a reasonable period, though we may be unable to recall material already distributed by third parties or reshared by others.
Content you capture and post yourself remains your own. You may not use OWF Trips branding to represent yourself as an authorised agent or reseller.
Data Protection and Privacy
We collect and process personal data — including names, contact details, government ID and passport details, PAN, and medical disclosures — for the purposes of delivering your booking, meeting statutory and permit requirements, and communicating with you.
This data is processed in accordance with our Privacy Policy and applicable Indian law, including the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
Your data may be shared with Independent Contractors — hotels, airlines, transport and permit agents — strictly to the extent necessary to deliver your booking. You may request access to, correction of, or erasure of your personal data by writing to bookings@owftrips.in, subject to our statutory retention obligations.
Intellectual Property
All content on our Platform — itineraries, route designs, pricing formats, written content, photographs, video, logos, branding and design elements — is the property of OWF Trips LLP or its licensors.
You may not copy, reproduce, modify, republish, distribute or commercially exploit any part of it without our prior written permission. Use of our content for competitive purposes is expressly prohibited. Third-party names and trademarks appearing on our Platform are used descriptively and do not imply endorsement.
Third-Party Links
Our Platform may link to third-party websites. We do not control or endorse their content, services or accuracy, and access is at your own risk. We are not liable for any loss arising from information hosted on external sites.
Grievance Redressal
We take complaints seriously and aim to resolve them quickly and fairly.
Step 1 — Customer Success. Contact us at bookings@owftrips.in, on our WhatsApp business number, or by phone during office hours (10 AM – 7 PM). We aim to acknowledge every grievance within 48 business hours.
Step 2 — Escalation. Where a matter requires further review or a financial decision, it is escalated to the trip's Destination Manager, and thereafter to the founding partner for final resolution.

The Grievance Officer will acknowledge your complaint within 48 hours of receipt and endeavour to resolve it within one month.
Please retain your booking confirmation, payment records and any relevant correspondence. We ask that grievances be raised within 15 days of trip completion so that we can investigate effectively while the facts are fresh — though this does not affect any statutory right or limitation period available to you.
Governing Law, Dispute Resolution and Jurisdiction
These Terms are governed by and construed in accordance with the laws of India, including the Consumer Protection Act, 2019 and the Information Technology Act, 2000.
Amicable resolution. In the event of any dispute, the parties shall first attempt resolution through good-faith discussion.
Arbitration. If the dispute remains unresolved 30 days after being raised in writing, it shall be referred to arbitration by a sole arbitrator appointed by mutual agreement, conducted under the Arbitration and Conciliation Act, 1996. The seat and venue of arbitration shall be Bengaluru, Karnataka, and the proceedings shall be in English. The arbitrator's award shall be final and binding.
Jurisdiction. Subject to the above, the courts at Bengaluru, Karnataka shall have exclusive jurisdiction over all disputes arising from these Terms.
Nothing in this clause restricts your right to approach a consumer forum having jurisdiction under the Consumer Protection Act, 2019.
Amendments, Severability and Entire Agreement
Amendments. We may amend these Terms at any time. The current version is always published on our website. Amendments apply prospectively; the Terms in force on the date of your booking confirmation govern that booking, except where a change is required by law.
Severability. If any provision is held invalid or unenforceable, it shall be severed and the remaining provisions shall continue in full force.
Entire agreement. These Terms, together with your booking confirmation and quotation, constitute the entire agreement between you and OWF Trips and supersede all prior discussions and representations.
Acceptance. By confirming a booking with OWF Trips, you acknowledge that you have read, understood and agreed to these Terms and Conditions.
Annexure A — Payment and Cancellation Schedules
A1. Payment Schedule
Days are counted backwards from the scheduled departure date.

Where a booking is made within 15 days of departure, 100% of the tour cost is payable at the time of booking.
- Full payment of airfare is required at the time of flight ticket issuance, irrespective of the schedule above.
- Non-Refundable Services must be paid in full at the time of booking.
- The payment schedule is non-negotiable. Timelines may be tightened for peak dates, festive periods or destination-specific supplier deadlines; the applicable schedule will be confirmed by your travel consultant before booking.
A2. Cancellation Schedule
Charges are calculated from the date we receive your written cancellation request.

In every case:
- Actual airline cancellation charges apply in addition;
- Non-Refundable Services carry no refund or credit value;
- GST at the applicable rate is chargeable on the cancellation amount;
- Credit Notes are governed by Clause 9.2;
- Cancellation charges do not apply where the cancellation is initiated by OWF Trips (Clause 9.3).
For a Group Trip, the forfeited Booking Advance is the trip-specific per-seat amount stated on the relevant trip page, pricing modal, quotation or booking confirmation. For a private, customised or other non-group booking, the forfeited Booking Advance is 25% of the full tour cost.
The cancellation schedule may vary for customised trips and certain destinations, in which case the applicable schedule will be stated in your quotation and will prevail over this Annexure.
